- Please don’t come to your appointment with symptoms of COVID, without doing a test.
- Arrive on time, if you are late we may refuse your service
- Face coverings are optional.
- Refreshments will be available.
- Magazines are available on tablets.

Every appointment that is booked at Mirror Mirror is exclusive to the client this means you will get the stylist/therapist full time and engagement,
You can cancel for free more than 48 hours (2days) before your appointment,
You will receive a booking confirmation when you make your appointment this will have on it all the information you need regarding your appointment, please read through it carefully.
24hours before your appointment you will be emailed or receive a text to confirm your appointment, this is simply a system put in place so we know you will definitely be attending your appointment.
Please make Mirror Mirror aware if you need to cancel or reschedule your appointment at least 48 hours before. Any changes done to your appointment after that time will result in an invoice of a percentage of the appointment cost sent to the email address and phone number provided.
Failure to pay the invoice will result in you being unable to make future appointments at the salon until this is paid.
Mirror Mirror and the freelance team have a strict skin testing policy. Please speak to your freelance stylist/therapist about skin testing prior to any chemical service.
- You will be skin tested following Wella guidelines
- You must arrive on time for your skin test appointment
- You will apply your test to the crook of your elbow so please wear a short sleeve top if possible
All-new colour clients will need a skin test 48 hours before their appointment.
After your first appointment, you will not need a skin test before each colour appointment.
However, you will need a skin test if:
• You are taking medication to treat allergies (you will have to come off the antihistamines 48hours before your skin test and stay off them till 48hours after your appointment)
• You are wanting to change your colour or brand at all.
• You have had a tattoo, henna, or permanent makeup since your last appointment.
• You haven’t had a colour appointment in the last 3 months.
• You haven’t had a skin test in the last 12 months (even if you have been having your colour done in this time)
• You have had any type of allergic reaction since your last appointment.
• You have started any new medication since your last appointment.
• You have had COVID
• You have had your COVID vaccine or booster.

WHAT INFORMATION WE COLLECT ABOUT YOU
We collect information about you when you book an appointment for a service or treatment, visit the salon for a service or treatment, buy a product or apply for a job, whether contact is online, on paper, by email or over the phone.
The information you give us may include your name, address, email address, phone number, relevant history which may suggest that a service or treatment should not go ahead or certain products should not be used (e.g. allergies, pregnancy, medical conditions, medication), payment and transaction information, IP address and CVs.
For clients under the age of 16, we will only keep and use their personal information with the consent of a parent, carer or guardian.
HOW INFORMATION ABOUT YOU WILL BE USED
In law, we are allowed to use personal information, including sharing it outside the salon or with our freelance team members, only if we have a proper reason to do so, for example:
To fulfill a contract with you i.e. to provide the service or treatment you have requested and to communicate with you about your appointments
When it is in our legitimate interest i.e. there is a business or commercial reason to do so, unless this is outweighed by your rights or interests
When you consent to it: we will always ask for your consent to hold and use health and medical information and photographs.

Our Freelance Team
We have rigorous data protection and security policies in place with all our suppliers.
[Some of the people working in our salon/barbershop are self-employed. Where software systems and reception facilities are shared, our self-employed colleagues will have access to your information.] The information provided by yourself will remain the property of Mirror Mirror, therefore if a stylist leaves they will be required to re gain your information using their own GDPR policy documents.
We will not share your information with any other third party without your consent except to help prevent fraud, or if required to do so by law.
We would like to send you information about products and services which may be of interest to you. We will ask for your consent to receive marketing information.
If you have consented to receive marketing, you may opt-out at a later date.

HOW LONG YOUR INFORMATION WILL BE KEPT FOR
Unless you request otherwise, we will keep your information to contact you for a maximum of 1 year from your last visit to the salon/barbershop.
After a year we will delete all your personal information, except for your name, relevant client history (e.g. allergy test records which we keep for 4 years), and financial transactions (which we are obliged to keep for 7 years).
Information about unsuccessful job applicants will be deleted after four months.

WHERE YOUR INFORMATION IS KEPT
Your information is stored within the European Economic Area on secure servers provided by www.shortcuts.co.uk . Any payment transactions are encrypted. Sending information via the internet is not completely secure, although we will do our best to protect your information and prevent unauthorised access.
ACCESS TO YOUR INFORMATION AND CORRECTION
You have the right to request a copy of the personal information that we hold about you. This will normally be free, unless we consider the request to be unfounded or excessive, in which case we may charge a fee to cover our administration costs.

We hold personal information about:
- Former clients and prospective clients
- Job applicants
- We also hold information about financial transactions relating to these eg services or treatments provided, products bought, payroll information.
HOW LONG IS PERSONAL DATA HELD FOR?
We aim not to hold personal data longer than necessary.
Unless requested by an individual, the following types of data will be held for the periods shown below, after which it will be securely deleted or destroyed:

WHERE IS PERSONAL DATA HELD?
Personal data about clients, financial transactions and employees are held on our secure salon software system which is backed up every day or held in secure electronic files electronically which can be accessed only by Salon owner/ Manager.
Paper records are held in a locked cabinet or in secure archive storage.
HOW IS PERSONAL DATA DELETED?
Personal data is permanently deleted in accordance with the retention periods listed above from:

Paper records, which are securely shredded.
